Choosing the best softwares to organize and streamline

“Just from having a computer consulting background, everything I do, I want to have it organized and streamlined through computer systems. That just goes without saying. Then, getting into property management, with all of the tasks, the roles, the processes, it’s just unbelievable. It probably rivals any other business, with the amount of collaboration it requires.”

~ David Kerner, TouchPoint Property Management

David Kerner from TouchPoint Property Management comes from a background in computer consulting; in 2005 he got into real estate sales and then transitioned into property management, first with his own properties, and then taking on the properties of clients.

Processes and systems have been a focus for David since he started.

Throughout the years, he’s used Asana, Process Street, and Podio, all of which he had success with.

“But the thing is, our systems are changing and improving, and we’re adding and taking away and editing things so often, it’s not an easy thing to do in Podio...So I wanted a software, where anytime we have changes to any task, I want to be able to do in there and change it on the fly.”
“Then I was getting messages from people and from you guys that you had your process automation set up...and you were taking really good advice and recommendations from other property managers, not just wanting to do it the way you wanted to do it, but the way we need it done.”

David appreciates quite a few features in LeadSimple, but he specifically highlighted:

✅ Conditional logic

✅ Easy user interface

✅ Task instructions

✅ Team roles & task assignment

“Everybody [on the team] is extremely happy. They adopted it quickly. First of all, it’s got an easy user interface. Extremely friendly user interface. What team is not going to like that...It clearly demonstrated how it saved them time. It was easier to use than Podio, easier to learn, did more than Podio, because it was easier for me to set up all of the things I wanted [than] in Podio.“
“I know I sound like a paid [client], but if you’re willing to put in the time, LeadSimple is a very good infrastructure to build on. It’s easy to do and your team will like it.”

As for getting the team on board, David has involved his team in the process of improving processes from the beginning:

“I sincerely believe that my team is happy and I’ve always made myself available on a daily basis to work with my team. I wanted input from them where new systems broke, where there were problems, if we were missing tasks or missing emails, so my team feels as if they are a part of this creation process and this programming process, and they feel they have a voice, they feel that they’re listened to. When there’s something that they feel like is stuck, we can quickly change it and make it better if it’s the right thing to do, and then we will immediately see a change in how the processes go.”

David especially appreciates LeadSimple’s support and implementation teams:

“I can not ever imagine seeing such a good tech support team. They were there for me within minutes with answers to my questions...You guys also have a feature request page that you guys actually monitor! It’s not just there; you guys actually monitor it and you will take changes that are recommended, apply them, and put them into play, and the software improves over time, because you listen to your tech support and you change accordingly, which I love.”

When asked what his advice was for other property management companies looking to implement systems in their business, David answered:

“Don’t try to learn all the technical stuff first. People get stuck with, how do I make this Zapier to that Zapier and then do this; you’ll never create it. Get a piece of paper, make a list of all of your processes. Then, get a paper with one of the processes and just mind dump with all your team members every single task involved and put it there. Now you have a list, a page with all of your tasks, you can put them in order and who is assigned to it, take that piece of paper and now you have a process. Then you can go in and program your software. When you’re done, then you can go and start messing with all the major conditional logic and Zapier.”

David also mentioned that LeadSimple works perfectly well for the real estate sales use case as well.

“It could work well for real estate, real estate sales, perfectly...I haven’t implemented it yet, but I’m ready to implement it for my real estate sales side as well. Easily, it fits it perfectly. Any process you can think of, you can create a process and create it in LeadSimple. The only difference is you won’t attach a property to it.”

When asked whether he would do it again, David answered:

“Oh yeah, no doubt about it. No doubt about it. Absolutely, I would definitely recommend it. There are other softwares out there that are really good, but if you want a CRM with your process management in one suite, it’s definitely a good decision.”
