When you’re building your systems and workflows, focusing on the details is crucial. While certain details obviously need to be included in your workflows, others are easy to overlook until they become a problem. They are just as prone to human error and need to be a defined part of your processes.
Some of these details are:
What is the customer experience you want to create? With each process, consider the time frame that would provide the best customer experience. At what point is the customer experience degraded if the process goes too long?
Depending on how your processes are built, knowing which stage to start the process in might not be obvious. This can be confusing for your team and create issues with processes that are started in the wrong stage.
Even if you are already using team roles in your processes, you may have multiple squads or teams and have to recall which user needs to be assigned to which role when starting processes.
Many processes are triggered by other processes and events, but some processes (such as lease renewals and delinquencies) need to be started in bulk on a regular basis. Even though starting the processes in bulk in LeadSimple is easy, having to remember to do this every month takes valuable time.
To avoid forgetting these details when your team is starting processes, you can add steps in your process, with details in the instructions reminding your team of what to do. But it’s even better if you can build those details directly into your processes and automate them so your team won’t have to deal with them at all!
That is why we built these brand new workflow automation features that are coming to LeadSimple soon.
Wake up on the first of the month and actually enjoy your coffee, knowing that your renewal and delinquency processes have started automatically and are already running!
Build auto-starting rules into your Lease Renewal, Delinquency, Move In, and Move Out processes so they can start automatically. Conditionally start your processes daily, weekly, or monthly and auto assign team members based on property group. Set your "create process" steps in your other processes to automatic so all your processes can start automatically!
Here’s a sneak peek:
Assign team member roles automatically based on property group! Sync your property groups directly from AppFolio or add property groups manually. Set up your processes to automatically assign team member roles based on property group.
This will allow you to manage portfolios, teams, and squads with ease, so your team doesn’t have to remember which portfolio or squad each property belongs to and who to assign the team member roles to.
Here’s a sneak peek:
With the customizable default due dates feature, you can set how far out the due date for each process type should be. This saves time when starting the process, keeps the team accountable, and helps provide a consistent experience for your owners and tenants.
Use this feature to set the policy for how long that process should take and stay on top of off-track and overdue processes.
Here’s a sneak peek:
Now you can choose the stage each process type should start in. This allows you to start in a backlog stage or a different active stage than the first one, which can be helpful depending on how your process is built. You can also select different starting stages in your auto-starting rules.
